Alan,

Rather an interesting question. I am not sure if you are using just
Inventory or if you are using warehousing as well. Nor am I sure which
version of JBA that is being used. Both JBA applications have a Stock
Taking process, which print Stock Count Sheets, allows data entry,
auditing, reconciliation.

Assuming that no processing has been taking place during the stock count
and that no system updates have been done either. Then you have really two
choices.

1. Upload the file to the AS/400 and write a program / query to compare the
balances on the file to the balances on INP60. Only print those with a
variance. This report can then be used by a data entry clerk to manually
do adjustments using the Adjust Physical Stock option on the Inventory
Processing menu.

2. Again, upload the file to the AS/400 and write a program to calculate
the variances with INP60 and use a JBA program called IN070 to do the
inventory updates for you.

I would not recommend any other approach as there are multiple files within
System/21 for tracking inventory:

INP60 is the Inventory Stockroom Balance file
INP80 is the Lot Balance file (used if you are under Lot, Serial or Batch
control)
INP90 is the Stock History file (with weekly balance buckets)
INP95 is the Inventory Movements file

There are others and I will not go into them here. But I am sure that to
simply update the balance would be the wrong thing to do.

If you are using JBA Warehousing, then it gets even more complicated. and
the above approach does not work. If you do have JBA warehousing, I would
suggest contacting JBA directly. You can still do solution 1 or 2, they
would simply be more complicated and would need an experienced JBA
warehousing resource.

As for knowing which screens use which files. I am sure that you are
familiar with the OS/400 method of seeing the open files for an active job.
The only way of getting familiar with the way that files are linked
together is to:

a) Dig your way through the programs.
b) Get your hands on the Technical Documentation (not always complete or
upto date, but they are good starting points).
c) Get someone to come in and give you some one on one training.

I hope this helps. Feel free to contact me if you have any questions or
need more help.

Like to know if anyone has any ideas on entering the results of a physical
inventory. I am retracing the steps of a predecessor (who is not
available).
So far this is the completed work:

1. Run a query to create a file that has the part numbers I need (in this
case MRO-related only).

2. Export the data to an Excel file and format to print into forms that
workers can write-in their findings.

3. Forms are given to entry clerk who keys results into original Excel
file.

4. Excel file is emailed back to me:

What I originally suspected was that that there is some SQL approach to
mass-replacing the old totals with the new ones in INP35. However in
talking
with others I find that there is apparently an adjustment made that is
included in each part's movement history under 4/INE (from the previous PI)
so whacking one number with another looks like a bad idea.

An aside: If anyone knows how to view whatever data file(s) are in play
during while a particular screen is up please advise. I know the program
name is in the upper corner but I am curious about uncombing the myriad of
interconnected data tables and their relationships.

Thanks in advance
