Document management covers a great deal of territory. Managing document retention, annotations of scanned documents (beyond just redaction (black out) and highlight), versions management, backup and recovery. Integration with fax systems, e-mail servers, line of business applications, etc should be considered carefully.

I would avoid any product that stores documents in some proprietary format or in any database. Be very sensitive to performance. Any system that is difficult to get documents out of will cause reluctance of staff to put documents into it.

Make sure that everyone involved in the project has the same understanding of what document management IS and IS NOT in the context of this particular project.

Basically all a document management system is, a data base to track
storage of files. These can be any type of file. You have
applications, categories, and document types. You have security, black
out, and highlights to the documents. You track storage both in
Permanent and Cache. Cache can come in the form of local and remote.
Permanent storage can be on Disk or Optical WORM libraries.

Both Vanguard and Quadrant have excellent technical support. There are
many other systems out there as well. What you need to do is start with
the requirements, source of documents, retention, (does it need to be a
read only storage such as WORM). There are many other requirements to
look at as well.

wants to begin the process.

They have grand visions but no knowledge of the actual process or cost.
