Mac, We are running version 6.04 and have just started running the order purge within the last 3-4 months. The system parameters allows us to choose a date by which to purge orders: ORD820D-03 BPCS System Generation ENG02A 1/16/02 Revise Order Entry System Parameters BNORRIS 09:08:09 Automatic Close of Orders Supported 1 (1=Yes 0=No) Rules for Automatic Closing of Orders: Ordered vs. Shipped Basis 01 (01=Amount, 02=Quantity) Tolerance 100.00 (Percentage) Date for Which to Base Closing 01 01=Enter 03=Request 05=Last Ship 02=Schedule 04=Book Number of Days Order Should Remain Open 365 Rules for Purging of Orders: Date for which to Base Purging 01 01=Enter 03=Request 05=Last Ship 02=Schedule 04=Book Number of Days to Retain Orders 365 Word of caution: We tried to use the Last Ship Date and had a disaster - Drop Ship orders do not have a ship date - with this parameter selected we lost all of our open drop ship orders!!! So for our application - When we purge the order entry files the system first looks at what orders should be closed based on the ordered vs. shipped quantity tolerance that are within the date of our system parameters. The system then reviews which of those orders should be purged by the Record ID and the date parameter that we set. Version 6.04 also has an option to archive the purged records - we run ours with this parameter and it creates a EHH and EHL file from ECH and ECL respectively. We find this to be a great benefit for querying the older orders. I have actually used the AS/400 CPYF command to purge really old ECH/ECL records (by HEDTE and HID) with no ill effects. Check also the ESN and ECS files for corresponding order data. There are also three clean up programs (ORD990, INV971 and SYS990) that I would run after such an action. This same procedure could be used for RMA and Quote members. One concern would be to determine how much history needs to be kept online for customer service reference. Records with HID CZ and status 8 are complete and invoiced, status E orders with HID CZ were deleted before any shipment.
