I have created W-2 forms for customers using forms package software. A
couple of these packages are able to generate web based forms that are able
to be filled (from your Payroll database) and that should be acceptable to
the IRS. The forms I created were designed using the official W-2 for the
year as the template.

I have been asked by our accounting department to create a page on our
intranet to let employees view and print their W2 information with the
intent of telling employee that we will no longer printing W2 forms and they
can get their forms online, like we have done with paystubs. I do not have a
problem building the page but I know from past experience in ordering pin
feed W2 forms that there are IRS approvals that have to be obtained for
these forms. Has anyone ever tried to do this and it so were employees able
to submit a print screen from a web site as a official W2? I like the idea
of the web page where I can get the numbers needed to file electronically
where I don't need a form to submit (Federal and State) but in PA we have a
local tax report where I am required to still submit a paper W2 so I need at
least one official copy. I can also use a print screen for my own records so
I could see a reduction in the number of W2s printed per person from 5 to 1
or 2 but I don'!
t see it going away completely.
