when a request covers more than 10 years,
we still do 1 report...

(these are infrequent, less than 5 per year i guess)
we use separate CL's that call sql's that join
both the current and archive data files together
by common key fields. (thats the reason for
a data history lib with the same file name)
This does take the CL call
out of the menu area and an analyst has to
manually call these and then run the report for the
user. But unless these request become more frequent,
they will remain in our "ad hoc" category and be
done by analyst assistance. Its a resource hog,
and usually scheduled to run after 5pm.

as for extended student data, we maintain our
K-12 records and transcripts after graduation
forever, some still on microfilm, but most now
stored by being scanned into the iSeries using a
software called RealVision, then they are transferred to
optical storage (worm drives) so only the location info
remains on the iSeries. however, the state of florida
does maintain the K-20 (high schl + 8 yrs) and employment
data at the state level.

I work mainly with business data (fin & pay), but we do
have to run "lifetime" payroll history when insurance and
soc sec cases come up requiring investigation.
THATS where are current payroll detail limitations are
hurting us, currently, we sometimes have to retrieve
tapes and selectively restore payroll history back 30 years.

The optical drives for payroll records would be an excellent
solution for us, but again.. we have to fight the
budget wars first.
