You can use DFU (or DBU) to maintain individual records.
You can also use RGZPFM to remove deleted records from the files, 
providing more space on disk.

Finally, you can use Query/400 to filter data and manipulate them as you 
need.

This is very superficial, based on the info you have submitted and what I
